1. Appointment deposit
A 50% booking deposit is paid through Square when an appointment request is submitted. The request remains subject to treatment-room availability and is not confirmed until Tony has secured the room. Once confirmed, the deposit is credited against the total treatment fee and the remaining balance is paid after the session.

2. If the requested appointment cannot be accommodated
If Tony cannot secure a treatment room for the preferred time, the client may choose an alternative appointment or receive a full deposit refund. No administration fee will be deducted.
3. Cancelling with at least 24 hours’ notice
If the client gives at least 24 hours’ notice before the agreed start time, the deposit is refundable in full. At the client’s request, it may instead be transferred to a rearranged appointment.
4. Cancelling with less than 24 hours’ notice
Where less than 24 hours’ notice is given, the deposit will normally be retained as a cancellation charge. This is because the treatment room must be booked and prepaid and the appointment time has been reserved exclusively for the client.
Any amount retained will be limited to the reasonable direct loss resulting from the cancellation and is not intended as a penalty. If the appointment is filled by another client, the room cost is avoided or the actual loss is lower than the deposit, any excess will be refunded or credited as appropriate.
5. Missed appointments
If a client does not attend and has not given notice, the deposit will normally be retained, subject to the same fairness and direct-loss principles described above.
6. Rescheduling
With at least 24 hours’ notice, the deposit may be transferred to a rearranged appointment. A request made with less notice will be treated in the same way as a late cancellation unless otherwise agreed.
7. Emergencies and exceptional circumstances
Genuine emergencies and exceptional circumstances will be considered reasonably and case by case. A deposit may be transferred or refunded where appropriate, but clients should make contact as soon as they reasonably can.
8. If WholePerson Bodywork cancels
If WholePerson Bodywork cancels a confirmed appointment, the client may choose a full deposit refund or transfer the deposit to a rearranged appointment. No administration fee will be deducted.
9. How to cancel or rearrange
Email wholepersonbodywork@gmail.com, call 07854 094659 or send a WhatsApp message. Notice is treated as received when the message reaches the relevant account or telephone.
10. Statutory rights
This policy does not reduce any statutory cancellation, refund or consumer rights that apply. Where an appointment is arranged remotely and a legal cooling-off right applies, it remains unaffected.
